Executive Assistant

Summary: This full-time position coordinates garden administrative office functions as directed by the Executive Director. No day is the same as another, so it is essential the Executive Assistant is flexible but skilled at following up on projects to accomplish the work requested by the assigned date. The Executive Assistant must be a good communicator to the general public, board members, and garden staff, and have the ability to keep confidences.
Essential Duties & Responsibilities:
- Perform clerical duties as assigned by the Executive Director, prioritizing work to meet assigned deadlines.
- Undertake special projects as assigned by the Executive Director.
- Act as liaison to the Toledo Botanical Garden Board of Trustees; attend monthly board meetings and keep minutes, coordinate various documents for the board including Conflict of Interest, attendance at board meetings, list of members and contact information. Assist board members as requested.
- Perform duties typical of Human Resource coordinator for the Director and staff, including new hires, benefits, and terminations.
- Coordinate employee Health & HSA benefit, including enrollment of new employees. Act as liaison between TBG and health insurance broker for health insurance and Key Bank for HSA enrollment; coordinate COBRA documents.
- Act as liaison for TBG and commercial insurance carrier, including updating commercial auto insurance for drivers of TBG vehicles.
- Act as liaison between the Toledo Botanical Garden and Associate Organizations.
- Assist TBG Managers with special projects and events as requested.
- Assist the Accounting Coordinator by making bank deposits and other duties so as to maintain best practice separation of duties.
- Perform other duties as assigned.
Qualifications: The individual must have 3-5 years of experience working as an Executive Assistant to a high-level executive and have demonstrable skills and good judgment. Also the individual must have experience in the human resources area, including hiring practices and employee benefits. This individual must possess strong computer skills in word processing, spreadsheets, and have knowledge of database entry.

Preferred Skills: The individual must be able to solve practical problems and should have the ability to interpret documents, establish correspondence and write routine reports, as well as communicate effectively using electronic mail, online meetings, and social networking websites.

Toledo GROWs Manager

Summary: This full-time position is responsible for overall management and coordination of the Toledo GROWs Program. This position will work with the Toledo GROWs Committee to identify new community greening opportunities, as well as maintain and strengthen the program in the community.
Essential Duties & Responsibilities:
- Manage GROWs and associated programs as a representative of Toledo Botanical Garden.
- Provide ongoing supervision of GROWs employees and contractors.
- Train garden leaders in obtaining and maximizing resources from the community.
- Oversee efficient and safe operation of the Robert Anderson Urban Agriculture Center.
- Supervise the GROW’s job-training partnership with the Lucas County Juvenile Justice Division.
- Develop and administer the GROW’s program budget, meeting or exceeding budgeted goals.
- In collaboration with other TBG staff, develop marketing materials needed for the program.
- Utilizing TBG development staff, provide ongoing information to maintain accurate records of all donations and timely thank-you correspondence with donors.
- Gather, record and translate information needed for grant proposals and marketing materials.
- Assist in obtaining ongoing funding and other resources for the GROWs program.
- Maintain and communicate a list for needed capital improvements.
- Serve as a resource for community gardening issues.
- Serve on local community-based committees as needed.
- Network with appropriate organization to build and sustain partnerships.
- Assist with all Toledo GROWs events.
- Assist at TBG special events as needed.
- Performs other duties as assigned.
Supervisory Responsibilities: This position will be responsible for the supervision of the GROWs program staff and contractors.
Performance Expectations: To perform this job successfully, the individual must also meet a set of essential performance expectations. These key items are:
- Abide by all agreed upon timelines and deadlines.
- Meet specific programmatic and grant goals as mutually agreed upon with the Executive Director.
- Establish and maintain careful accounting of all budgets, and meet or exceed revenue and expense targets.
- Communicate and collaborate with Executive Director regarding progress and/or setbacks at weekly meetings.
Qualifications: To perform this job successfully, an individual must be able to perform each essential duty in a satisfactory manner. The individual is to have a minimum of a Bachelor’s Degree in Biology, Horticulture, Education or other closely related field. This position requires two years on the job experience in the area of supervision of staff. The individual must posses a valid driver’s license and be able to drive a truck with a trailer and/or a tractor with a trailer. Preferred Skills: This individual must demonstrate leadership and organizational skills with proven administrative and management abilities. Knowledge of Word, Excel, and Outlook is essential, as well as the ability to interpret documents, establish correspondence and write routine reports.

Part-Time Greenhouse Technician
Summary:
This position will assist in maintenance of all plant production areas.
Essential Duties and Responsibilities:
- Performs and oversees work involved in plant production including but not limited to propagation, transplanting, and sanitary maintenance.
- Works with plant schedules produced by TBG and demonstration partners to plan and maintain vertical hydroponic system and four-season vegetable growing.
- Maintains production database with data monitoring.

Events and Marketing Intern
Toledo Botanical Garden is seeking a talented, dedicated intern interested in furthering their experience in marketing, public relations and event planning. This position will work under the guidance of the Marketing & Events Manager, as well as the Events Coordinator & Volunteer Coordinator, to contribute to the vision, planning and execution of Toledo Botanical Garden’s events and marketing efforts. Candidates must have good verbal & written communication skills, as well as computer experience in Word, Excel, databases, email, social media, etc. Moderate physical labor is required during event set-up and tear down.
The Marketing & Event internship is designed to give the right candidate additional experience in events management, marketing & publicizing an organization and its events, as well as learn about volunteer coordination and fundraising. The intern will continue to gain valuable understanding of the many different aspects within an event and how they all interact with one another to produce the special event.
Requirements/Qualifications:
- Must have at least one year of experience in event planning and/or marketing. *If you are currently enrolled in an event planning degree/certification program or marketing program, feel free to apply.
- Professional demeanor
- Undergraduate/graduate student interested in event planning, marketing, and/or non-profit management
- Strong commitment and desire to learn
- Excellent writing and verbal communication skills required

General Time Commitment:
- Must be able to work 15-20 hours per week, some weekends will be involved
- Must be available to work outside of regular business hours on days of events
- Availability from May through August
